DESCRIPTION:
The Staff Support Specialist assists the Government leadership in supporting resource management requirements, developing high-level overview briefings, briefing senior visitors, and updating monthly command visitor forecasts to include cyber-related visits
RESPONSIBILITIES:
- Coordinate and track all visit requests and requirements
- Enter visitor request information into database
- Develop visit agenda, coordinate and schedule meetings and briefings
- Assist the Government in communicating the Government's Communications Strategy to facilitate information flow throughout organization to include budget and manager issues
- Attend/facilitate all project meetings
- Draft and deliver briefings for a wide range of audiences
- Assist travelers with creation of Request Travel Authorization (RTA); review submitted travel RTAs to adherence to Joint Travel Regulations
- Coordinate and execute Government leadership meetings and events (e.g.) to include scheduling rooms, establishing agendas, inviting participants, distributing read-ahead materials and providing meeting minutes, planning Service Balls
- Assist in managing Registrar actions
- Receive and distribute actions from external (outside of NSAH) and NSAH organizations
- Ensure action requirements and suspense dates are captured and communicated to required offices
- Receive and consolidate input from different offices for leadership concurrence; send action responses
- Assist with the collection and documentation of funding requirements and continually update/validate requirements
- Maintain roster of Government personnel for recall purposes
- Establish and update email alias distribution lists
- Assist in identifying supply requirements and maintain inventory
- Enter supply purchase requests into ePro
- Track accountable materials and property
- Receive supply orders and manage distribution and storage
- Enter trouble tickets
- Compile Weekly Activity Reports (WAR)
- Maintain and utilize NSA Corporate Action Tracking System and TAO Morpheus system accounts and local tracking processes. Maintain current status of all actions and taskers
- Draft and maintain a Standard Operating Procedures (SOP) for Government functional administrative processes to include process automation
- Maintain local space allocation/accountability databases
- Maintain and utilize Key and Alarm Tracking System to manage swipe process in accordance with Standard Operating ProceduresServe as Timekeeper using DCPS​
- Maintain hiring related databases in support of hiring administrative action and scheduling phone interviews on behalf of hiring managers
- Updated content on websites in SharePoint
- Meet Skill Level 2 on Microsoft Outlook, Word, Excel and PowerPoint
- Conduct ad-hoc activities, as needed
- Current/active TS/SCI clearance with full-scope polygraph (Lifestyle Poly + CI Poly)
- (Active NSA-granted FS POLY must be in place for consideration)
- Bachelor's Degree (or equivalent experience - see below)
- At least 4 years experience working in the Intelligence Community
- At least 1 year experience processing travel requests in accordance with Joint Travel Regulations
- Along with Bachelor's Degree, at least 4 years experience supporting senior level staff processes and functions
- If no Bachelor's Degree, at least 6 years experience supporting senior level staff processes and functions
